Overview

A fleet rarely fails loudly. It leaks — a fuel card nobody reconciles, a registration renewed three weeks late at double the fee, a vehicle serviced twice in a month because two branches booked it, another not serviced in a year because the reminder lived in someone's head. None of it is dramatic. Together it is often the second-largest cost line in the business, and the least examined.

Fidsor Fleet exists to make that cost visible per vehicle, because that is the only level at which you can act on it.

Cost per kilometre, not cost per invoice

Most businesses know what they spent on fuel last month. Very few know what it costs to run vehicle 14 for a kilometre, or which of two identical vans is quietly costing 40% more. Every litre, part, fine, toll and service visit posts against the vehicle it belongs to, divided by distance actually travelled. That single number tells you which vehicles to keep, which to sell, and which driver needs a conversation — and it is the number that justifies replacing a vehicle before it strands a customer.

Documents that renew themselves

Registration, insurance, permits and driving licences all expire, always inconveniently. Each one carries its own expiry and its own reminder schedule, escalating as the date approaches and reaching a manager if nobody acts. An expired registration is not a paperwork problem — it is a vehicle that cannot legally work and a fine that grows daily.

The driver is part of the record

Assignments are tracked over time, so the system always knows who held which vehicle on which day. That is what lets a fine reach the right person, a damage report have an owner, and fuel efficiency be compared driver to driver on the same vehicle. Handover and return checklists with photos settle the argument about when the dent appeared before it starts.

Frequently asked questions

How does it know a vehicle is due for service?Service schedules trigger on whichever comes first — distance or date. A reading logged by the driver, imported from a tracker or entered at the pump moves the vehicle towards its next service, and the alert fires before it is overdue rather than after.
Can drivers report problems from the road?Yes. The driver app takes a breakdown or damage report with photos, location and a description, which opens a workshop job immediately. Drivers also complete pre-trip inspection checklists from the same screen.
Are fines and tolls tracked against the driver?Fines are matched to whoever held the vehicle on the date of the offence, using the assignment history. You see fines by driver as well as by vehicle, which turns a recurring cost into a coachable pattern.
Does fuel spend reconcile with the fuel cards?Import the card statement and each transaction matches to a vehicle by card number, then against the odometer reading to calculate consumption. Transactions that do not reconcile — a fill larger than the tank, two fills an hour apart — are flagged for review.
Do vehicle costs reach accounting and assets?Yes. Purchases and leases register as assets with depreciation, and fuel, servicing, insurance and fines post to the cost centre the vehicle belongs to. Fleet cost appears in your accounts without re-keying.
Can it handle leased vehicles as well as owned ones?Both. Leased vehicles carry their contract, monthly cost, mileage allowance and return date, with alerts before the term ends and a warning when the allowance is running out. Owned vehicles carry depreciation and resale value instead.
