Overview

Rental is a business with an unusual failure mode: the asset earns nothing while it sits, and everything that goes wrong goes wrong in the gaps. The double booking that turns into an apology and a discount. The item returned four days late that nobody charged for. The scratch that appeared somewhere between three customers, so it was written off. The machine sent to a job while it was overdue for service, which failed on site.

Availability is the product

What a customer is really buying is a promise that the item will be there on Tuesday. That promise is only as good as your availability, so availability here counts everything that makes an item unavailable — active hires, forward reservations, delivery and collection time, and maintenance holds — across all branches at once. If the system says yes, you can say yes.

Condition recorded, not remembered

Every handover captures a checklist and photographs before the item leaves, and every return is inspected against them. This changes the conversation about damage from two people's recollections into a dated set of images. Most businesses find the value is less in charging for damage and more in the damage that stops happening once customers know the item is photographed.

Utilisation tells you what to buy next

Every item reports how many days it was out, how many it sat idle, and what it earned against what it cost. That is the answer to the only capital question a hire business asks: which of these should I buy another of, and which am I still storing out of sentiment? Items that are booked out solid are the ones turning away revenue you never see.

Frequently asked questions

Does it stop the same item being booked twice?Yes, and that is the point. Availability is checked against reservations, active hires, delivery time and maintenance holds before an item can be committed. If it is out, on its way back, or in the workshop, it cannot be reserved — across every branch, not just the one you are standing in.
How are deposits and damage handled?The deposit is taken at handover and held against the contract. At return, the inspection is compared with the handover photos, and any damage is raised as a charge against the deposit with the evidence attached. Whatever remains is refunded automatically on the closing invoice.
What happens when a customer returns late?Late fees are calculated from the contract's rate and grace period the moment the return is recorded, in whatever unit you hire in. Customers can be warned automatically as the return time approaches, which recovers more items than any fee does.
Can items be taken out of service for maintenance?Yes. A maintenance hold blocks the dates and removes the item from availability, and a service due by date or by usage hours can raise the hold itself. Equipment goes into the workshop instead of going out to a customer and failing.
Do you handle delivery and collection?Both are scheduled as their own jobs with an address, a time window and a driver, and the field app captures signature and photos at each end. Delivery and collection time can be blocked out of availability so a same-day turnaround is not promised by mistake.
Does rental revenue reach accounting?Yes. Invoices, deposits held, damage charges and refunds all post to your accounts with the right tax treatment, and revenue is reported per item so you can see what each asset actually earns against what it cost.
